These Terms & Conditions ("Terms") govern your use of pixelmeadowhaven.com and any tour booked with Pixel Meadow Haven. By using the website or making a booking, you agree to these Terms.

2. Information on the website
Tour descriptions, itineraries, photos and prices on the website are for general information. Photos are illustrative. Prices shown are "from" prices per person in double occupancy and depend on dates, availability and exchange rates. A request through the form is not a booking — it only lets us contact you with a personal offer.
3. Booking and contract
- A booking is confirmed only after you accept our written offer and we receive your deposit.
- The deposit is 10% of the tour price unless stated otherwise in your offer.
- The remaining balance is due no later than 45 days before departure, or according to the installment plan agreed in writing.
- The person making the booking must be at least 18 and confirms that all traveler details are correct.
4. Prices and payment
The confirmed price includes only the services listed in your offer. Unless stated otherwise, the price does not include: personal expenses, meals not listed, optional activities, tips, visa fees and travel insurance. We may adjust prices before final payment only due to changes in fuel surcharges, taxes or exchange rates, and will notify you in writing.
5. Cancellations and changes
Cancellation fees, changes and refunds are described in our Booking & Refund Policy, which forms part of these Terms.
6. Travel documents, visas and health
You are responsible for a valid passport (valid for the whole stay), any visa or entry requirement, and complying with health and customs rules of Japan and transit countries. We can share general information, but final requirements are set by authorities. We strongly recommend comprehensive travel insurance covering cancellation, medical expenses and repatriation.
7. Changes to the itinerary
We may change the order of visits, hotels (to an equal or higher category) or guides for operational reasons, weather, safety or events outside our control. If a significant change is necessary before departure, you may accept it, choose an alternative tour, or cancel with a full refund of amounts paid to us.
8. Your conduct
Travelers must respect local laws, customs, guides and other group members. We may exclude a traveler who seriously disrupts the tour or puts others at risk, without refund.
9. Liability
We are responsible for arranging the services described in your confirmed booking with reasonable care. We are not liable for loss or damage caused by your own actions, third parties not connected with the tour, or force majeure — events outside our control such as natural disasters, epidemics, strikes, war, government actions or airline failures. Where a supplier's liability is limited by international conventions (for example for air travel), our liability is limited in the same way. Nothing in these Terms limits liability that cannot be limited by law.
10. Complaints
If something goes wrong during the tour, tell your guide or our 24/7 support immediately so we can fix it on the spot. Written complaints should be sent to info@pixelmeadowhaven.com within 30 days after returning.
11. Website use
All website content — texts, design, logos, graphics — belongs to Pixel Meadow Haven or its licensors. You may not copy or use it commercially without permission. You agree not to misuse the website, attempt unauthorized access or submit false information.
12. Privacy
We process personal data according to our Privacy Policy.
13. Governing law
These Terms are governed by the laws of the country of our registration, without prejudice to mandatory consumer protection rules of your country of residence. EU consumers may also use the EU Online Dispute Resolution platform.
14. Changes to these Terms
We may update these Terms. The version valid at the moment of your booking applies to that booking.
